Email Delivered to the Spam or Junk Folder
From time to time, emails you send may end up in the recipient's Spam or Junk Mail folder. This can have several causes. Determining the exact reason is sometimes difficult, but in most cases the source of the problem can be identified by analyzing the headers of a received email. Concera can assist you with this analysis.
Unfortunately, spam remains one of the biggest problems on the Internet, and the majority of all email traffic consists of unwanted or malicious messages. Concera actively works to prevent both the sending and receiving of spam by using advanced filtering, continuous monitoring, anti-spam technologies, and automated system scans.
Spam Filters
Concera uses multiple spam filters to protect your email. Every incoming and outgoing message must pass these filters before it is accepted or delivered. After the spam filters, messages are also scanned for viruses.
Our spam filters are self-learning. Whenever possible, please mark unwanted messages as spam by moving them to your Junk Mail folder. This helps improve the accuracy of the filtering system over time.
SPF (Sender Policy Framework)
By default, we configure SPF (Sender Policy Framework) for your domain. SPF specifies which mail servers are authorized to send email on behalf of your domain.
It is important that you only send email through the servers listed in your SPF record. If you use another mail server, for example one provided by your Internet Service Provider, please let us know the hostname or IP address so we can update your SPF configuration accordingly.
You can also manage your SPF settings yourself through the hosting control panel.
Monitoring
Occasionally a customer's email account or website is compromised and starts sending spam. At Concera this is strictly prohibited.
Always ensure that:
Your computers are protected by an up-to-date antivirus solution.
Your website is kept fully up to date.
Open-source applications are regularly updated with the latest security patches.
If a domain or website is found to be sending spam and the issue cannot be resolved immediately, we may temporarily suspend the affected service to protect the reputation of our mail servers and other customers.
Our mail infrastructure is monitored both internally and externally. If spam activity is detected, we are notified automatically and may temporarily disable the affected domain until the issue has been resolved.
Please note that costs incurred as a result of spam incidents or any resulting damage may be charged to the customer.
Automated Security Scans
We continuously monitor websites and open-source applications for malicious scripts, malware, and other security threats.
Whenever suspicious activity is detected, an investigation is initiated immediately.
In our experience, over 99.9% of website compromises are caused by outdated open-source software. Keeping your website fully up to date remains the single most effective way to prevent security incidents.
Hotmail / Outlook
One of the biggest challenges for mail administrators remains Microsoft's free email services, including Hotmail, Outlook.com, Live.com, and Live.nl.
Although these services often report that an email has been successfully received by Microsoft's servers, this does not necessarily mean the message has actually been delivered to the recipient's inbox.
When sending important messages to addresses ending in:
@hotmail.com
@hotmail.nl
@live.com
@live.nl
@outlook.com
we recommend enabling both delivery receipts and read receipts, if supported by your email client.
Unfortunately, Microsoft does not guarantee delivery, nor does it provide visibility into or control over its internal filtering processes.
We also recommend asking recipients to add your email address to their address book or safe senders list, as this often improves successful delivery.
What Can You Do?
To maximize the likelihood that your email reaches its destination:
Write clear, properly formatted emails.
Avoid sending large mailings using BCC.
Send newsletters or bulk mail using dedicated mailing software.
Keep your antivirus and anti-spam software up to date.
Use the correct outgoing mail server.
Prefer the mail server provided with your hosting account (typically named similar to sXX.concera.hosting).
Ensure your website is not sending spam.
Always send email through an authenticated mail server.
Avoid excessive use of CAPITAL LETTERS, multiple exclamation marks, or misleading subject lines.
Avoid wording that is commonly associated with spam.
